Report & Export

2Shakes keeps your agreements, authorities and AML records in one place, and gives you several ways to search, report on and export them. This page explains each report, where to find it, and how to get the data out.

Which report do I need?

Find what you want to do below, then jump to that report's section.

  • Find a client, or see who still needs to sign or finish CDD: use the Dashboard search.

  • Get a list of clients, with signed dates, into Excel: use the Export button at the top right of the Dashboard table.

  • Get one client's details into another system: use Export to CSV on the client's Management page.

  • See everything about a client's CDD, including ID verification and PEP results: open the AML Report from the AML Customer Due Diligence section of the client's Management page.

  • Get the numbers for your AML annual report: run the AML Statistics report from [AML menu > AML Statistics].

  • Find clients due for Ongoing CDD, or who need a PEP check: use the Ongoing CDD report, under AML > Ongoing CDD.

  • Find clients you haven't re-engaged for a while: sort the Dashboard by Signed date, or use the Ongoing CDD report.

  • Give your auditor what they need: use each client's AML Report, the AML Statistics report and your AML documents. See Preparing for an AML audit, below.

  • Upload a new client to Xero Practice Manager: click Upload to Practice Manager on the client's Management page.

  • Understand your monthly bill: check the receipt emailed on the 1st of each month, and My Account.

Dashboard: search, filter and export

The Dashboard lists every client you have put through 2Shakes. It is the quickest way to build a list of clients.

  1. Search by any part of the client's name, and narrow it by [date range], type (Sign Up or AML Only) and status.

  2. Sort any column by clicking the icon in its header. Sort by Signed to see when agreements were signed, oldest first.

  3. Include Archived to add clients you have archived.

  4. Export using the button at the top right of the table. This downloads your search results as a CSV file you can open in Excel.

What is in the export: [client name, type, status, completed date, … confirm columns]. The Completed date is the date the agreement was fully signed, not the date it was last updated or renewed.

Tips

  • A Sign Up with AML goes to Signed – AML Pending once it is signed, and to Complete when CDD is marked complete. To find all signed agreements, filter on both Pending and Complete.

  • Renewing a client creates a new entry, so a client can appear more than once. Sort by date to find the latest.

  • Search uses the client name recorded at sign up. If a company has since changed its name, search on the old name. [Remove this tip once the company name update is released.]

Exporting one client

To get a single client's details into another system, open the client from the Dashboard and click Export to CSV on the Client Management page. [Confirm what the file contains.]

AML Report (one per client)

Every AML client group has an AML Report: your record of the Customer Due Diligence you carried out. It includes, for each beneficial owner, how their identity was verified and the result of their PEP and sanctions check, along with your CDD level, nature and purpose, and risk assessment. [Confirm contents.]

Open it from the client's Management page, in the AML Customer Due Diligence section, and save it as a PDF.

Keep a copy. The AML Report is your evidence that ID verification and PEP checks were done. Download it before you delete a client, and keep it for as long as your AML programme requires.

AML Statistics report (for your annual report)

The AML Statistics report gives you the numbers you need for your AML annual report, due to DIA by 31 August for the year ending 30 June.

  1. Go to [AML menu > AML Statistics].

  2. Enter the From and To dates for the period you are reporting on.

  3. Read off the totals, or [export them to CSV].

It shows:

  • How many customers you completed CDD on, split into organisations and individuals. Add the two together for your annual report.

  • Types of customers, taken from the CDD level tab of each client's AML records.

  • Methods of CDD: face to face (manual) and non-face to face (electronic or biometric), including electronic checks that failed and were then completed manually.

What is counted

  • Only clients with a status of Complete are counted. Finish CDD and click Complete CDD before you run the report.

  • Clients you have deleted are not counted. If you delete clients during the year, record their numbers first.

For a walk-through of each part of the annual report, see Audit, Reporting & Statistics.

Preparing for an AML audit

Your auditor will usually ask for your AML programme and risk assessment, a sample of customer files, and your statistics. In 2Shakes:

  • Store your programme and risk assessment in [AML > AML Documents].

  • Give each sampled client's AML Report, plus anything in their Notes & Files.

  • Run the AML Statistics report for the audit period.

If you need help with records for clients you have deleted, contact us and we will see what we can find.

Ongoing CDD report

The Ongoing CDD (OCDD) report shows which clients are due for a review. Open it from AML > Ongoing CDD.

  1. Choose how long since CDD was last reviewed: 3, 6, 12, 18 or 24+ months.

  2. Add any of: High Risk, Enhanced CDD, no electronic PEP check, no electronic IDV.

  3. Optionally add clients with expired passports, or clients with Ongoing CDD switched off. These show whatever time period you picked.

  4. Tick Include Archived if you archive clients but still have an ongoing relationship with them.

  5. Click a client to open it and start Ongoing CDD.

Looking for clients older than 3 years? Select 24+ months, then sort or scan the results for the review date you need.

Exporting: the OCDD report cannot be exported yet. [Remove or update once OCDD export is released.] To get a list into Excel, use the Dashboard Export instead.

Switching Ongoing CDD off for a client only removes it from this report. It does not stop the client's ongoing charge (see Stopping ongoing charges, below).

ID verification reports

Each person's Biometric or Electronic ID verification has its own report, showing what was checked and the result. Open it from the Signing & ID Verification section of the Client Management page and save it as a PDF. Reading the results: Biometric IDV and Electronic IDV.

Save the report before you revert an agreement to draft, because reverting removes it.

Getting your data into other software

  • Xero Practice Manager or WorkflowMax: click Upload to Practice Manager on the Client Management page to create the client, contacts and signed agreement. This creates a new client record; it does not update one that already exists. See Xero Integration.

  • Other practice management or CRM software: use the client Export to CSV, or the Dashboard Export for a list, then import the file into your software.

Before you delete a client or close your account

Deleting a client removes it from 2Shakes and from your reports, and stops its ongoing charge. Before you delete, download and store:

  1. The AML Report (your ID verification and PEP evidence)

  2. The signed agreement and authorities

  3. Any Notes & Files

Also note:

  • Deleted clients are no longer counted in the AML Statistics report. If you are part way through a reporting year, run the report first.

  • You must keep AML, IR and ACC records for the periods the law and your professional body require.

Stopping ongoing charges

Every client in 2Shakes at the end of the month has an ongoing charge (25c per client group for Sign Up only, 50c for AML). This covers renewals, Ongoing CDD and your audit and reporting records.

  • Archive hides it from the dashboard (unless Include Archived is ticked) but does NOT stop the charge.

  • Switch off Ongoing CDD hides it from the Ongoing CDD report but does NOT stop the charge.

  • Delete hides if from everything, including AML Statistics and DOES stop the charge.

To delete: on the Dashboard tick Allow Delete, click Search, then use the Delete option on the right. Turn Allow Delete off again afterwards.

Your monthly invoice

Your receipt is emailed on the 1st of each month to the billing email in My Account (under the Hi… menu). It shows the number of client groups charged at each ongoing rate, any additional uses, and ID verification and PEP add-ons. To see which clients make up the ongoing count, search the Dashboard with Include Archived ticked. Prices: Pricing.

Analysing your exports with Claude

An AI assistant such as Claude can turn a 2Shakes export into answers in minutes: summaries for directors, lists of who to follow up, and trends across years. Claude does not connect to 2Shakes; you export a file and give it to Claude.

How to do it

  1. Export the data you need: a Dashboard Export, a client CSV, or the AML Statistics report.

  2. Remove anything you don't need for the question, such as personal contact details (see Protecting your clients' information, below).

  3. Open a new chat in Claude, attach the CSV file, and say what the data is: "This is an export of my client list from 2Shakes. The Completed column is the date each agreement was fully signed."

  4. Ask your question in plain English, and say what you want back: a table, a chart, a short summary or a spreadsheet.

  5. Check the answer against 2Shakes before you rely on it, especially numbers going into your AML annual report.

Questions you could ask

  • Plan re-engagements: List the clients whose agreement was signed more than 3 years ago, oldest first, grouped by year signed.

  • Onboarding pipeline: How many clients are at each status? Which have been In Progress or AML Pending for more than 30 days?

  • Brief your directors or partners: Write a one-page summary of this export for our partners meeting: totals by status, new clients this year, and anything that needs action.

  • Understand trends: Chart the number of agreements completed each month over the last 2 years.

  • Compare years: Here are my AML Statistics for the last two reporting years. What changed in customer numbers, customer types and ID verification methods?

  • Check your bill: Count the client groups in this export, including archived ones, split by Sign Up only and AML." Then compare with your monthly receipt.

  • Tidy your client list: Find clients that appear more than once and show me the latest entry for each."

Protecting your clients' information

Your exports can contain personal information about your clients, and AML records are sensitive. Before you share any file with an AI tool:

  • Check that your organisation's privacy policy and AML programme allow it, and use a Claude plan and settings your organisation has approved.

  • Share the least you need. Remove names, emails, addresses and dates of birth if the question doesn't need them; client names can often be replaced with a code.

  • Never upload ID documents, ID verification reports or PEP reports.

  • Remember that you remain responsible for your AML reporting. Claude helps you analyse; the decisions and the annual report are yours.

Reporting FAQs

How do I get a list of clients into Excel? Search the Dashboard, then click Export at the top right of the table. You get a CSV file of your search results.

Can I see when each agreement was signed? Yes. The Dashboard has a Signed column; click its header to sort. In the export, the Completed date is the date the agreement was fully signed.

How do I find clients I need to re-engage? Sort the Dashboard by Signed date, or use the Ongoing CDD report with 24+ months selected.

My search returns nothing, but I know the client is there. Check the status and date filters, and tick Include Archived. If the company has changed its name, search on the name it had when you signed it up.

Can I export the Ongoing CDD report? Not yet. Use the Dashboard Export, or let us know what you need and we'll add your request.

Why doesn't my AML Statistics total match my client list? The report only counts clients with a status of Complete for the dates you entered, and does not include clients you have deleted.

Where is the proof that a PEP check was done? In each client's AML Report, and in the person's ID verification report. Download these before you delete a client.

I archived clients but I'm still being charged. Archiving only tidies your Dashboard. To stop the charge, download the client's records and delete it.

Can I export all the details for each person (date of birth, address, email)? Not at the moment. The Dashboard and client CSV exports are what we provide today. If you need more, tell us what you would use it for.

Still stuck? Email support@2shakes.co.nz and tell us what you are trying to produce and who it is for, and we'll point you to the quickest way. Referral Program Special Terms
