How to Use 2Shakes

  • You can have as many users in 2Shakes as you like.

    Create additional users in the Business Profile > Users page. This will send a request through for the new user to create a password and set up 2FA to use the 2Shakes account.

    You will be able to see all activity of all users on the Dashboard.

    Users with Admin checked can edit the Business Profile.

    Users with AML Officer checked can Complete CDD in AML.

  • If you have forgotten your username then contact support.

    To reset your password, use the Forgot Password link on the Login screen.

  • 2FA is mandatory in 2Shakes.

    If you change phone, Google Authenticator has an export function so you can move the code to your new phone.

    If that’s not possible (including a lost phone) please contact Support and we will reset 2FA for your account.

  • For a Sign Up, the client, directors or other signing parties, and the agreement can be automatically uploaded to Xero Practice Manager or Workflow Max by clicking the Upload to Practice Manager button in the client Management screen (accessed from the Dashboard).

    For AML Only, the Client and Beneficial Owners are uploaded in the same way.

  • If you don’t use Xero Practice Manager you can download a CSV file into excel.

    Many software providers can allow you to upload information from a CSV file into their application.

  • Not everyone wants to sign electronically. Some clients prefer paper, some don’t use mobile phones or the internet.

    WIth 2Shakes you can select the option for your clients to sign on paper.

    This does have limitations because we do not have the person’s electronic signature and consent, so we can not workflow the authorities to government, etc.

  • You can get authority to act for a deceased estate with 2Shakes by adding the estate as an organisation. Add the executor as the main contact (not an individual client). When the estate is the only entity on the agreement you can add additional executors who need to sign on the parties and signatories page.

    If AML applies add any additional executors to the Beneficial Owners section on the AML screen so you can complete Customer Due Diligence checks on them.

  • In 2Shake, you can carry out AML Customer Due Diligence checks.

    This can be part of a Sign Up (where you are creating a signed engagement agreement), or can be done as AML Only.

    Either way, 2Shakes helps you complete Customer Due Diligence checks to allows you to meet your AML requirements.

  • If you are dealing with a Trust as a client you can manually add it as an organisation.

    Their are specific requirements for Trusts if AML applies, and we have provided a wealth of info on our Trusts Page.

  • When the agreement is sent for signing it goes into the status of signing in progress and is ‘locked’ from changes.

    If you need to make a change to the agreement before it is fully signed, you can do this by reverting it to draft. and then resend it out again for signing.

    Unfortunately, since it is a legal document, progress (e.g. signatories that have signed) will be lost.

    NB: If someone had done a Biometric IDV as part of the progress, go to their IDV Report and save it to PDF. Then after reverting to draft you can select that person as Manual IDV the second time, and attach the IDV Report to Notes & Files.

  • If the agreement has been fully signed, and any IDV of Signatories has been done, it goes into a status of Complete.

    If you need to change the agreement after it is Complete, you can create a renewed agreement to supersede it.

    You can use the Renew button to create the new agreement based off your signed agreement, which you can then edit and send out for signing.

  • Except for Biometric IDV:

    If you have used the wrong email address or mobile phone number for the client you can change it to resend a new SMS text or email to a signer without needing to revert to draft. To do this go into the agreement and select the Edit Options button next to the relevant person.

    For Biometric IDV:

    To change the email address, use Edit Options as above.

    If the person has already entered their mobile number, and the Biometric SMS Text has been sent, the 2Shakes status for them is SMS Sent.

    If they entered the wrong number, ask hem to use the (backup) emailed link instead - this is the same link as the text, it just needs to be opened on a mobile phone.

    If they had the wrong mobile number, and can’t access the emailed link, you either send a new text or revert to manual IDV.

  • By default 2Shakes carriesout a Biometric ID Verification when IDV is needed. This is to meet AML and Government Authority to Act requirements.

  • The initial usage for first 10 client groups put through 2Shakes are free. If you use any paid add-ons, such as the Biometric ID Verification, they do get charged still, since there is a third party charge to us for them that we need to pay.

    On pricing there are three types of charges - Initial Usage, Add-ons & Ongoing Charges. You can find detailed information about these on our Pricing page, as well as below. We also included this on the email you received when we activated your account.

    Pricing details

    There are three components to Pricing: Initial Usage, Add-ons, and Ongoing charges.

    Initial Usage:

    First 10 are Free! Then either:

    >Pay Monthly: $30 per month, which includes 5 rollover client groups. $5 per additional client group.

    >Pay As You Go: No monthly subscription, pay for what you use. $20 per client group.

    Note: If you take on 2 or more clients per month choose Pay Monthly.

    Add-ons: Biometric & Electronic ID Verification and electronic PEP Checks.

    Biometric IDV including PEP: $12.50 per individual

    Electronic IDV including PEP: $5 per individual

    PEP Check: $2.50 per individual

    *All add-ons are additional to your chosen plan

    Ongoing Charges: Clients under management fees (Ongoing CDD & Renewals)

    Signup Only: 25c per client group, per month

    AML Clients: 50c per client group, per month

  • The Initial Usage for the first 10 client groups put through 2Shakes are free.

    If you use any paid Add-ons, such as the Biometric ID Verification, they do get charged still, since there is a third party charge to us for them that we need to pay.

    With a paid add-on there would have been a pop-up explaining the cost when you clicked Proceed to Sign, also asking you to enter your credit/debit card details.

    It is the paid Add-ons that are on your bill.

  • We only want you to py fr what you need in 2Shakes.

    Most ofour customers have an ongoing relationship with clients. So they keep them in 2Shakes, and pay the Ongoing Charges, because they want to do Renewals, Ongoing Customer Due Diligence, and Audits/Reporting.

    If you have clients you no longer wish to pay an ongoing fee for, you can download the information from 2Shakes (Agreement, Authorities, AML report, Notes & Files, etc), and then delete the client.

    To delete, you select Allow Delete from the Dashboard, and click Search. That refreshes the page with a new Delete option on the right hand side.
